Payment Day

By default Gro works the billing date out from the delivery date, stepping back through your courier lead time and packing day. Payment day lets you override that for a single subscription so it charges on a day the customer has picked.

There are two kinds of payment day, and a subscription can use one or the other, never both.

Type What it means Available on
Day of week Always charge on a chosen weekday, for example every Monday Any subscription
Day of month Always charge on a fixed calendar date, for example the 1st Monthly subscriptions only

In the dashboard, open the subscription and choose Set Payment Day. Pick a weekday, a day of the month, or Auto to go back to following the delivery schedule.

Saving recalculates the upcoming charge straight away, so long as the new date is still in the future. If the day you picked has already gone past for the next order, that order is left alone and the new payment day starts from the order after it.

Day of month is for customers who want a predictable date, typically to line the charge up with payday. Pick any date from the 1st to the 31st.

Gro charges on the most recent occurrence of that date before the order is packed. It never charges after packing, because the order has to be paid for before it goes out.

February has 28 days, and several months have 30. If you pick a date that a month does not have, Gro charges on the last day of that month instead.

  • The 31st charges on 28 February, or 29 February in a leap year
  • The 31st charges on 30 April, 30 June, 30 September and 30 November
  • The 30th charges on 28 February, or 29 February in a leap year

This is a one month adjustment, not a permanent move. The date you chose is kept, so the subscription goes back to it the following month.

Chosen date Feb Mar Apr May
31st 28 Feb 31 Mar 30 Apr 31 May
15th 15 Feb 15 Mar 15 Apr 15 May

If a customer wants to be charged at the end of every month whatever its length, picking the 31st does exactly that.

Day of month needs a monthly subscription. On a weekly or fortnightly plan a single monthly charge would have to cover several deliveries, so the option is only offered when the subscription bills every month. If you change a monthly subscription to a weekly frequency, its day of month is cleared and it goes back to following the delivery schedule.

The gap to delivery can vary. Deliveries run on set weekdays, so the number of days between the charge and the delivery is not fixed. Most months it will be a few days. Occasionally, when delivery falls early in the month and the chosen date falls late, the charge can land up to a few weeks ahead of the delivery. The charge date itself stays on the date the customer picked, and they are still charged once per order.

Some delivery dates may not be selectable. When rescheduling, Gro only offers dates whose charge still falls in the future. A payment day late in the month can rule out delivery dates early in the next month.

Payment day is per subscription. It overrides the billing day set on the delivery configuration and the account default. To change the billing day for everyone, edit the delivery configuration instead.

Delivery must be switched on. Payment day works by adjusting a billing date derived from a delivery date. On accounts that do not use the delivery module, set the next billing date on the subscription directly.

The subscription’s payment day shows on the subscription record in the dashboard, and the recalculated charge date appears everywhere the next order is shown, including the customer portal. Every change is written to the subscription’s activity log with who made it and how the charge date moved.
